We have a great, newly created opportunity for an experienced Legal & Compliance Team Administrator to join our busy Legal & Compliance team.
About the role
This is a varied role in which you’ll support our Legal Operations Manager with responsibility for the following:
- Support our resale function by being responsible for raising invoices, updating trackers and chasing payments.
- Support new sales by liaising with colleagues for responses to enquiries, draft letters & certificates to be sent for signing via Docusign and requesting relevant certificates.
- Key point of contact for Pegasus Homes 'Collaborate' document storage system, including management of folders and users.
- Responsible for maintaining our document storage system, including filing/archiving contracts, and following up on renewals.
- Responsible for ensuring mandatory policies are reviewed and accepted by all staff by overseeing the eLearning system.
- Collation of incidents, including whistleblowing, CCTV, DP, and accidents.
- Set up documents in Docusign, following the process through, maintaining, and updating the Powers of Attorney.
- Support our Legal Operations Manager by administering legal training for the wider business.
- Where necessary, act as a point of contact for communications with the Team (written and verbal) using own judgement to determine the required action.
- Supporting the Treasury Department where appropriate.
About you
We are looking for someone who has relevant experience gained within a legal / compliance related role, property related experience would be an advantage but isn’t essential. You will have worked within an administrative role and have great interpersonal skills, with experience of working to deadlines and managing multiple tasks & deadlines.
Qualifications
- GCSE Maths & English or equivalent
- Legal/Business administration qualifications or relevant professional experience
Experience
- Demonstrable experience of providing administrative or similar support to staff, including diary management.
- Act with strict confidentiality and good judgment, discretion, and integrity at all times.
- Good knowledge of setting up and managing effective administrative processes, systems and procedures.
Skills & knowledge
- Excellent spoken and written English
- Excellent attention to detail and high levels of accuracy
- Excellent communication skills - written and verbal
- Excellent time management, prioritisation and proven ability to meet deadlines
- Strong organisational skills
- IT literate and competent with Google tools such as Gmail, Google Docs, Sheets and the internet. Skilled in preparation of presentations. Previous experience of working with property management, CRM and accounting systems such as Fixflo, Qube and Salesforce would be ideal but otherwise a proven ability to quickly understand and pick up new systems. (training will be provided)
